A Day in the life of an event planner:
Morning: planning and problem solving
8:30 – 9:00:
You kick off the day with an extra-energetic high five with your colleagues and check your schedule. You immediately notice a few “small” changes. Oh, that meeting moved to when exactly? Fine — we’ll improvise.
9:00 – 10:00:
Team meeting! You gather everyone (hopefully without any coffee spills) and go through the status of all upcoming events. Of course, there’s always someone who forgot to confirm something — time for a friendly nudge. #teamwork
10:00 – 12:00:
Call with asuppliers. You check in with the caterer, the florist, and the AV guy to make sure everything is on track. And yes, the AV guy says the projector is “somewhere on its way”… Time for plan B (and maybe plan C).
Midday: venue check and negotiations
12:00 – 13:00:
You visit the venue to see how things are looking today. Wait — what do you mean “the decorations haven’t arrived yet”?! No panic. A few quick calls and a reassuring smile to the client will solve this.
13:00 – 14:00:
Lunch? Who has time for lunch? 😉 You probably grab a sandwich while answering a few emails on the side.
14:00 – 15:00:
Client meeting: you go over the final details. The client casually asks if the DJ can also bring a carousel. You smile and nod, thinking: “We’ll figure that out later.”
Afternoon: crisis management and creative solutions
15:00 – 17:00:
Final checks: catering says they’re out of falafel, and someone chilled the wrong wine. You sort out new falafel (because no one wants an angry bride) and find a student who swaps wines like a pro.
17:00 – 18:00:
Everything finally seems in place. You check your phone a few more times, but it stays quiet. Too quiet. You jot down notes on what went well — and what could perhaps be done with fewer heart palpitations next time.
Evening: showtime
18:00 – 22:00:
Event time! You watch everything unfold according to plan (okay, with a few small adjustments), and it looks fantastic. You’re both the superhero and the first responder — always ready to jump in if a catering server drops a plate or the microphone decides to quit.
22:00 – 23:00:
Everyone happy? Great! You close the venue, tidy up, and hand out some well-deserved high fives to your team. You nailed it — again!
End of the day: mission accomplished (almost…)
23:30:
Feet finally up at home. One last glance at your phone to check for last-minute messages. At last… peace!
Oh wait — is that an email saying, “Small adjustment for tomorrow”? Are you asleep yet? 😅
This kind of day makes an Event Manager a true multitasker. No day is ever the same — and that’s exactly what makes it so exciting and rewarding.
